An important feature for you to be using, if you use Cliniko and Keap (previously Infusionsoft) is how to sync Cliniko treatment tags to Keap/Infusionsoft.
This is one of my favorite features of ClinicKonnect. That’s the ability to create our “Main Complaint” templates. Then we can tag people in Keap (previously Infusionsoft) and start campaigns based around someone’s main complaint.

Benefits Of Syncing Treatment Tags:
For example, if someone has problems with headaches, there might be some exercises that you can encourage them to do over a nurture series to help wow our customers. The same sort of thing can be done if someone has a sore neck or knee injury or something like that.
The Initial Setup:
So what happens is, remember back when we were setting up your account and we asked you to set up the Main Complaint section as a template inside your clinical account? What that looks like now is… when you are in a treatment and you are adding a treatment note to a client, when you go into the treatment note – this will be a standard consultation in this case – and we’ll go down to the bottom here and we will see down here, we’ve got the main complaint section, which is the template that we set up.
Triggering These Campaigns:
So now we can select “headache” or “sore neck” or “knee injury” or any extra ones that you add into the Main Complaint section. And they will automatically create a new tag if you add a new section in and select them when that tag is first selected inside a customer’s Treatment Note inside Cliniko.
Then that will automatically be synced across to Keap (previously Infusionsoft) into the Main Complaint tag.
Now, what we need to remember in here is, let’s say we want to do give someone the series of exercises for helping them with a headache. So we tag them into the campaign. Again, the same as before, the first step is that we remove that tag inside the campaign.
That way, if this person has headaches again and says, “Oh, can you send me those exercises?
They were really good. I can’t find the emails. Can you send them to me again?” You use that tag again inside the Treatment Notes and it will start the campaign for them again. Although it won’t start them again if they’re still running in the middle of the campaign, but it will if there’s been some time in between.
Important Note:
Now an important point to note is ClinicKonnect will sync every hour – or every time period that you’ve chosen – it will sync from Cliniko to Keap (previously Infusionsoft). And it will only sync the new people that have received the Main Complaint tag since the last sync.
So since the last sync, it will tag every person that’s had one of these Main Complaints added into your Treatment Notes. It won’t retag every single person, every time it does a sync. It just tags the new ones since the last sync. So that’s really helpful as well when it comes to running your campaigns.
One final note here: Updating a Treatment Note more than 24 hours old OR saving as a draft will NOT trigger the sync. It must be current and saved as final.
If you don’t already sync Cliniko treatment tags to Keap (previously Infusionsoft), start doing this as soon as you can and make sure you have nurture campaigns set up for each of the Main Complaints. Your patients will appreciate this and it’s going to go a long way in helping you to stand out from your competitors.
